Job Description
• Responsible for the organization and management of the Administration Department,
• Composing and typing letters and reports,
• Answers telephone, relays messages and greets visitors,
• Scheduling appointments,
• Making travel and accommodation arrangements,
• Keep minutes of the meeting when requested,
• Maintaining a Calendar for the Company’s deadlines,
• Sorts and screens mail
• Implementation of the Internal Regulations and procedures of the Company for the Administration Department and ensuring that all department staff are up to date with them,
• Ensuring the efficient operation of the Company’s facilities,
• Implementation of the Company’s security policy and access to the Company’s offices,
• Ensuring the cleanness and tidiness of the Company’s premises and the efficient operation of the Company’s offices by monitoring the cleaning personnel,
• Ordering and safeguarding of Company’s inventory,
• To assist foreign nationals, who either work for the company or are guests of the company, to obtain a visa or other required documents,
• Arranging for the preparation and set-up of the conference room when meetings or presentations are held,
• Arranging for the granting of visas or other relevant documents from relevant authorities for the Company’s staff,
• Filling in soft and or hard format all relevant documents of the Administration Department,
• In addition to the these duties the Employee may from time to time be required to undertake additional or other duties within her capacity as necessary to meet the needs of the Employer’s business.
